Clear more submissions without hiring for it
MGAs and program administrators run on submission volume they cannot control and headcount they would rather not add. RM Assistant takes the re-keying out of the middle — broker email in, structured record in your policy admin system out.
Intake is where MGA capacity actually leaks
Not in rating, not in binding. In the hour before either can start.
Your best underwriters are doing data entry
A licensed underwriter spending 45 to 90 minutes re-keying ACORD fields, loss-run rows and vehicle schedules is the most expensive data-entry hire on the org chart. That time does not price risk, does not build broker relationships, and does not scale.
The shared inbox is not a workflow
Email intake has no queue, no status and no owner. Nobody can answer 'where is that submission' without scrolling a thread. Submissions get missed, brokers stop hearing back, and the loss is invisible because nothing was ever tracked.
Growth means hiring, so growth gets capped
When capacity is measured in people-hours per submission, a good quarter from your broker panel becomes an operational problem. Programs get throttled not by appetite or capital, but by how fast the intake desk can type.
What changes on day one
Four things move. Nothing your brokers do changes at all.
Submissions arrive where they already arrive
Brokers keep emailing your existing submissions address. No portal to force on them, no forwarding rules, no change to how they work. RM Assistant picks the mail up, including every attachment.
Every document is identified and typed
ACORD 125, 127 and 140, loss runs, schedules of vehicles, MVRs and supplementals are classified page by page, then read against your field schema — with a confidence score on every field, not a black-box answer.
A human approves before anything posts
Extracted data lands in a review queue with each field linked back to the exact source document. Your team confirms or corrects, then pushes. Nothing writes to your policy admin system unreviewed.
The record lands in the system you already run
Structured data is written into your policy administration system — Dayd ALIS today, Vertafore IMS in development, and a custom API integration for anything else. The data lives in your system, not ours.
Measured on live submissions
Numbers from MGA and wholesale programs running RM Assistant in production today.
Figures are from production commercial-lines programs, measured end to end from inbound email to a posted record. Your mix of documents and carriers will move these numbers — we benchmark on your own historical submissions before you commit.
The three questions every ops leader asks
In roughly this order, usually in the first ten minutes.
What happens when it is not confident?
Low-confidence fields are flagged, not guessed. They surface at the top of the review queue with the source page beside them so a person decides. The failure mode is a human look, never a silent wrong value in your policy admin system.
Who owns the data?
You do. Submissions and extracted records are yours, isolated per tenant, and pushed into your own systems. There is no shared training pool across customers and no resale of your submission data.
How do we audit a decision later?
Every extracted field keeps a pointer to the document and page it came from, alongside the model confidence and any human correction. When an E&O question or a rating dispute comes back two years later, the trail is intact.
MGA submission automation, answered
What is submission intake automation for an MGA?
Submission intake automation is software that receives broker submissions by email, identifies each attached document, extracts the underwriting data from them, and writes structured records into the MGA's policy administration system. It replaces the manual step where a person opens each ACORD form and loss run and re-keys the fields by hand.
How long does implementation take?
A typical MGA is processing live submissions within a few weeks. The work is mapping your field schema and connecting your policy admin system, not a multi-quarter transformation programme. We start by running your real historical submissions through the pipeline so you can measure accuracy on your own book before going live.
Do our brokers have to change how they submit?
No. Brokers keep emailing submissions exactly as they do today, to the same address, with the same attachments. That is deliberate: any system that requires broker behaviour change gets abandoned, because brokers can simply send the risk to a market that does not ask.
Which policy administration systems do you support?
Dayd ALIS is live in production. Vertafore IMS is in development with a design partner. Guidewire and other systems are built against your specific instance via our custom API path during onboarding. We state the status of each explicitly rather than listing them as equally available, because an integration discovered to be missing during a proof of concept is worse than one disclosed up front.
Is a human still in the loop?
Yes, by design. Extracted data goes to a review queue with field-level confidence and a link to the source document. A person approves before anything posts to your policy admin system. The goal is to remove the typing, not the underwriting judgement.
How is this different from generic OCR or a document AI tool?
Generic OCR returns text. RM Assistant returns typed, validated insurance data: it knows what an ACORD 127 is, that a loss run has claim rows to itemise, that a VIN decodes to a specific vehicle, and that the resulting record has to satisfy your policy admin system's schema. The insurance-specific logic between raw text and a postable record is the actual product.
What does it cost?
Pricing is per submission processed, so cost tracks volume rather than seats. There is no charge for adding users to the review queue. See the pricing page for how the model works.
See it run on one of your own submissions
30 minutes. We take a real submission from your book — email, ACORD, loss run — and run it through the full pipeline while you watch. No slides.
