Clearance

Clearance is the process of checking a newly received submission against existing records to determine whether the risk has already been submitted by another broker, is a renewal of existing business, or is genuinely new, before any underwriting work begins.

Clearance protects broker relationships and prevents wasted effort. If two brokers submit the same risk, the market needs to know which one has it, and to avoid quoting the same account twice on different terms.

Doing this manually requires someone to recognise that an insured on an incoming submission is the same entity already in the system, despite differences in spelling, trading names, addresses or the identifiers used. In trucking, DOT and MC numbers make matching more tractable, but the underlying entity-resolution problem remains.

Automated intake helps because it produces structured identifiers early: once an insured name, DOT number and address are extracted, matching against existing records can happen before an underwriter spends time on the risk.
